Privacy Policy

This Privacy Policy explains how Nia handles information when coaches and clients use our mobile AI companion for support between coaching sessions. Nia is in private beta, so the service and this policy may evolve.
1. Who this policy applies to
This policy applies to Nia’s handling of information through the Nia website and service. A coach or organization may invite a client, configure Nia, and decide how the service is used. In those situations, the coach or organization may determine the purpose and means of handling client information and may have its own privacy notices and responsibilities. Questions about a coach’s use of client information may need to be directed to that coach or organization first.
2. Information we receive
Depending on how Nia is configured and used, we may handle:
- Coach information: account and contact details, client goals and context, exercises or homework, preferences, coaching approach, tone, principles, and boundaries.
- Client information: account details and information included in conversations, check-ins, homework activity, or other interactions with Nia.
- Generated information: AI responses and, where enabled, activity, summaries, or insights created for the coach or client.
- Billing information: subscription, transaction, and billing metadata. Stripe processes payment details; Nia does not claim to store full card details.
- Technical information: information needed to run and protect the service, such as device, browser, log, usage, and approximate network information.
- Beta and contact information: information you choose to provide when joining the beta, requesting support, or contacting us through the Nia website.
3. Sources
We receive information directly from coaches and clients, from their use of Nia, from the coach or organization managing access, from Stripe for payment and subscription events, and automatically from the devices and systems that interact with the service.
4. How we use information
We use information to provide and personalize Nia; maintain conversations, check-ins, homework activity, and enabled summaries or insights; authenticate accounts; process subscriptions and related support; communicate about the service and beta; monitor, secure, troubleshoot, and improve operations; and comply with legal obligations or protect rights and safety. We use information for these purposes only as appropriate to the service and configuration.
5. AI processing and visibility
Nia processes coach-provided context and client interactions to generate responses and, where enabled, activity, summaries, or insights. Depending on the coach’s configuration and the feature used, information shared with Nia or generated by it may be visible to the coach, the client, or both. The exact visibility can vary, so clients should ask their coach how Nia is configured. AI output can be inaccurate or incomplete; Nia is not medical or mental-health treatment, crisis support, or an emergency service.
6. Sharing information
We may share information with Stripe to process payments and subscription events, and with service providers as needed to host, secure, support, and operate Nia. We may also disclose information when required by law or when reasonably needed to protect users, the service, or others. We do not sell personal information. Sharing and visibility within a coach-led arrangement may also be controlled by the coach or organization and the applicable configuration.
7. Retention
We retain information for as long as reasonably needed for the purpose for which it was collected, to provide and secure an account and the service, to resolve issues, and to meet legal, accounting, or dispute-resolution needs. Retention can depend on account status, coach or organization instructions, feature configuration, and legal requirements. When information is no longer needed, we may delete it or retain it in a form that is not reasonably linked to an individual where appropriate.
8. Security
We use reasonable measures intended to protect information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use care with account credentials and avoid sharing information that is not needed for your coaching experience.
9. Choices and rights
Depending on where you live and subject to applicable law, you may have rights to request access, correction, deletion, restriction, portability, or information about our handling of your personal information, or to object or withdraw consent where relevant. Contact us through the method presented on the Nia website. If a coach or organization controls client information, we may refer your request to them or act on their instructions, and their policies may apply. You may also stop using Nia or ask the relevant coach about your account and configuration.
10. International processing
Nia and the providers that help operate it may process information in countries other than the country where you live. Where required, applicable safeguards are used for international transfers.
11. Children
Nia is designed for coach-led use and is not directed at children. A coach or organization must consider whether Nia is appropriate for the people it invites and obtain any permissions required by law. If you believe a child’s information was provided to Nia inappropriately, contact us through the Nia website.
12. Changes to this policy
We may update this policy as Nia changes or legal requirements develop. We will post the revised policy and update the date above. Please review it periodically to understand current practices.
